Explanation of the 7-Year Data Retention Policy for Course Materials on NTU COOL

謝謝臺大師生在 NTU COOL 平臺上創造多元、豐富、且深刻、紮實的教與學足跡，更感謝師生總是樂於向教務處分享您教學上的挑戰與需求，
讓 NTU COOL 平臺能夠持續精進。
NTU COOL 自 2018 年上線至今，每學期皆有 5,500 門左右的課程使用，累積了近 350 TB 的影片與課程檔案 (包括原始檔案與備份)。
考量「資料儲存成本」、「資料保存維運成本」、以及「使用者支援成本」，為讓本校有限的人力、硬體、經費資源做最適合的運用，
自 114 學年 (2025 年 9 月) 起，NTU COOL 將開始執行「課程資料保存期限七年」之政策 (已於112-2-1教務會議宣達)。
NTU COOL 將在每個學期開始後(訂於9月1日與3月1日) ，刪除七年前的課程資料，以 114-1 為例，將會刪除 107-1 學期以前的課程資料。
刪除之課程資料包括該課程內的影片、教材檔案、學生作業、討論紀錄等等。
課程刪除後，使用者 (包括教師、助教、學生、旁聽生)則無法再進入讓課程網頁。
提醒師生定期備份重要課程資料、善用數位資源，造成您的不便，還請理解與包涵。

常見問題：
Q: 課程大網、課程資訊會隨著 NTU COOL 課程資料一起被刪除嗎？
A: 不會，只要開課教師有建署課程大綱與資訊，皆可透臺大課程網查詢。
Q: 我可以下載課程影片嗎？
A: 教師可下載自己課程中的教學影片，然因影片屬老師的智慧財產受著作權法所保護，所以目前並無開放學生、助教下載課程影片。
Q: 我已經畢業了，目前無法以計中帳號登入 NTU COOL 備份資料，請問我可以怎麼做？
A: NTU COOL 提供畢業生帳號綁定的服務，使校友畢業後可透過校外信箱登入在學時期的帳號。故若希望改以校外信箱登入在學時期的NTU COOL帳號，請填寫以下表單以進行校外帳號的綁定申請：https://forms.gle/zNNLZxQKggcLiREA7

Greetings from the NTU COOL Team,
We would like to express our sincere appreciation to all NTU faculty and students for creating such rich, diverse, and impactful teaching and learning experiences on the NTU COOL platform. We are also grateful for your continued feedback and willingness to share your users’ experiences and needs, which helps us continuously improve the platform.
Since NTU COOL launch in 2018, we have supported approximately 5,500 courses each semester, amassing nearly 350 TB of videos and course files (including original files and backups). To ensure the best use of the university’s limited manpower, hardware, and financial resources, and considering the growing costs of data storage, maintenance, and user support, NTU COOL will begin implementing a 7-year course data retention policy starting from Academic Year 114 (September 2025). (This policy was officially announced at the Office of Academic Affairs meeting on March 22, 2024.)
Under this policy, course materials from seven years ago will be deleted at the beginning of each semester (on September 1 and March 1). For example, at the start of Semester 114-1, course materials from Semester 107-1 will be deleted. These deleted materials include course videos, teaching files, student submissions, discussion records, and more. Once a course is deleted, users (including instructors, TAs, students, and auditors) will no longer be able to access the course page.
We kindly remind faculty and students to regularly back up important course materials and make good use of available digital tools. We apologize for any inconvenience this may cause and thank you for your understanding.

FAQ
Q: Will course outlines and information be deleted along with NTU COOL course materials?
A: No. As long as instructors have set up course outlines and related information, they will remain accessible via the NTU Course website.
Q: Can I download course videos?
A: Instructors can download the teaching videos from their courses. However, since these videos are instructors’ property and are protected by copyright law, students and TAs do not have permission to download them.
Q: I’ve already graduated and can no longer log in to NTU COOL with my CC account. How can I back up my data?
A: NTU COOL provides a post-graduation account binding service, allowing alumni to log in to their NTU COOL accounts using an external email address after graduation. If you would like to bind an external email to your student account, please fill out this form to apply:
